Position Description


Founded in 1985, the Physicians Committee for Responsible Medicine (PCRM) is a nonprofit organization working towards compassionate and effective medical practice, research, and health promotion. PCRM promotes preventive medicine, especially through good nutrition. PCRM has led the way for reforms of federal nutrition policies and continues to break ground with its clinical research programs, which have shown the dramatic benefits of a vegetarian diet. PCRM encourages higher standards for ethics and effectiveness in research. We oppose unethical human experiments and promote alternatives to animal experimentation.

The PCRM Foundation’s fulfillment department provides informational literature and merchandise to its members, donors, the medical community, and the public at large on issues relating to nutrition, disease prevention, and ethics in research and education. The Foundation is seeking a coordinator to participate in the overall fulfillment process, which includes ordering and managing inventory, assembling packages and facilitating shipping, and tracking data for development purposes. The ideal candidate will have strong organizational and customer service skills and a desire to advance PCRM’s fulfillment operation to prepare for future growth.

Essential Functions

  • Inventory Management
    • Keep fulfillment center adequately stocked (literature, merchandise, and mailing supplies) inventoried, and organized:
      • Proactively work with employees and vendors to address on- and off-site literature/merchandise needs and then maintain needed on- and off-site inventory
      • Work with the departments to ensure that hard copy and electronic versions of brochures and fact sheets are kept up-to-date and accessible in the fulfillment center and on PCRM’s Web sites (www.PCRM.org/lit and www.CancerProject.org/lit)
      • Work with publications department to maintain archives of key pieces of literature
      • Generate monthly inventory reports
      • Coordinate quarterly inventory counts
    • Assist in the rollout of a new inventory management system that will improve upon current practices and prepare PCRM for future growth
  • Literature and Merchandise Fulfillment
    • Provide customer service to PCRM’s members, donors, doctors, the public at large, and staff
    • Fulfill requests for literature and merchandise within 48 hours and generate daily reports to gauge progress (requests are received in person, via phone, and via Web downloads)
    • Be an expert in mail procedures and facilitate outgoing mail (USPS, FedEx, UPS, etc.)
    • Maintain postage meter and scale (Pitney Bowes)
    • Generate monthly fulfillment reports for development purposes
  • Conference Support
    • Assist staff with pre- and postconference planning as it relates to literature, merchandise, and other supplies
    • Prepare and ship conference materials which include literature, merchandise, backdrops, tablecloths, displays, etc.
    • Track conference support details so as to be able to manage inventory and fine-tune processes going forward
    • Utilize outreach calendar and encourage its use by staff
  • Library Maintenance
    • Keep PCRM’s libraries organized and inventoried
    • Stock publications as they are received
  • Administrative Duties
    • Maintain vendor lists and contact information
    • Maintain department and outreach calendars
    • Maintain supply of stamps and petty cash
    • Keep copies of all receipts and generate check request forms as needed
    • Complete a variety of daily, monthly, quarterly and ad hoc inventory and fulfillment reports
    • Maintain department files
  • Other
    • Develop and maintain good working relationships with colleagues, frequent customers, and production/fulfillment vendors
    • Introduce new employees to literature/merchandise/mail procedures
    • Develop and maintain request forms and procedural cheat sheets for staff
    • Write and maintain detailed standard operating procedures and project status reports for primary areas of responsibility
    • Be an expert in PCRM’s procedure for handling suspicious mail/packages
    • Cross-train with the Facilities Coordinator and Office Services Coordinator so as to be able to provide back-up assistance/coverage
    • Perform other duties asneeded or requested

Required Education, Experience, and Skills

  • Education
    • Bachelor’s degree strongly preferred
  • Experience
    • A minimum of two years of work experience, preferably in an office setting
    • Experience in one or more the following areas preferred:
      • Customer service
      • Fulfillment or mail operations
      • Administrative functions
      • Development
    • Experience with Excel, Quickbooks, and/or WASP inventory management preferred, but not required
    • Experience with logistics solution software (i.e. UPS Worldship) and mid-volume digital mailing systems (i.e., Pitney Bowes) preferred, but not required
  • Skills
    • Excellent written and verbal communication skills including an effective phone manner and ability to summarize key issues and activities
    • Enthusiastic willingness to talk to the public about PCRM programs and membership opportunities
    • Ability to handle multiple tasks, prioritize, work well under pressure, meet deadlines, and see projects through to completion in a very fast-paced environment ]Ability to implement guidelines and procedures, ask thoughtful questions, and employ sound judgment
    • Ability to develop solutions to any identified problems
